The type of personal information we collect
The following table explains the types of data we collect and the legal basis on which this data is processed as well as examples of where we collect information indirectly from third parties or share your data with other organisations.
We will only use your data in a manner that is appropriate considering the basis on which that data was collected.
We will only pass your data to third parties in the following circumstances:
- you have provided your explicit consent for us to pass data to a named third party;
- we are using a third party purely for the purposes of processing data on our behalf and we have in place a data processing agreement with that third party that fulfils our legal obligations in relation to the use of third party data processors; or

We do not share your data outside of the UK.

|Applying for social housing and becoming a resident of Faith, Hope and Enterprise

|Contract – by applying for housing with us you are looking to enter into a contract for the provision of social housing. The contract details are included in the Licence Agreement
|Yes – we may receive information about you as part of a referral from other agencies, for example the local authority housing team, the probation service or another charity.

|Receiving support from Faith, Hope and Enterprise
|Name, address, phone number, date of birth, NI number, medical information including mental health issues and substance mis- use issues, benefit details, criminal record where appropriate, and probation details if current.
|Contract – as part of your Licence Agreement we will provide appropriate levels of support and we need information about your circumstances to give the right support at the right time.
|Yes – we may receive information about you from other agencies as part of your support agreement.
|Yes – we may share your information where required to ensure you receive appropriate support or to refer you for support from other organisations
|Working for Faith, Hope and Enterprise, including job applications
|Contract – we will process your data in order to fulfil our contractual obligations as your employer, or prospective employer if you are applying for a role with us.
We may also have a Legal Obligation to process some of your data, for example salary and tax calculations or to ensure your right to work for us.
Some data relies on your Consent such as sharing your DBS certificate with us.
|Yes – we may receive information about you as part of our referencing process, for example your employment history and we will receive information from the Disclosure and Barring Service on your DBS certificate
|Yes – we may share your basic personal details with any referees you provide as part of our referencing process, and with the Disclosure and Barring Service for your DBS check.
We will also share your details with HMRC for tax purposes and with our bank so that you can be paid.

|Contract – when appointed as a Trustee you enter into a contract with us under the terms of the appointment.

How we store your personal information
We take the principles of data minimisation and removal seriously and have internal policies in place to ensure that we only ever ask for the minimum amount of data for the associated purpose and delete that data promptly once it is no longer required.

Where data processing is based on consent, you may revoke this consent at any time and we will make it as easy as possible for you to do this (for example by putting ‘unsubscribe’ links at the bottom of all our marketing emails).
You have the right to ask for rectification and/or deletion of your information. You have the right of access to your information.
You have the right to lodge a complaint with the Information Commissioner if you feel your rights have been infringed.
